Fine Wines Direct Logo

Fine Wines Direct is a new company started by four colleagues who had previously worked together and acquired a substantial knowledge of the local wine trade. The company was set up to supply wholesale wine in the Cardiff area and with a trade counter at the warehouse.

Previous Systems

There were no previous systems to replace.

System Requirements

The system had to cover all aspects of the trade from purchasing to sales with an integrated accounts package and powerful easy to use reporting.

Required functionality from the standard modules included Sales Order Processing, Van Loading, Purchase Order Processing with Purchase Invoice Verification, the full set of Ledgers and the Cash Book.

Optional modules included the E.P.O.S system for the trade counter and the web services modules to enable e-commerce functionality on their new website.

On choosing Vintner Enterprise it was also decided to apply for an Excise Bond License. This would be the first Bond to open in Wales in 28 years. The Vintner Enterprise Bond Module provided all functional requirements including storage for third parties with tracking, rental and charges.

Decision Process

Vintner Systems had been recommended by several trade associates. After viewing Vintner Enterprise and comparing with other systems it was decided that only the Vintner system ticked all of the boxes.

Installation

To avoid undue delay whilst building work was completed on their new offices, Vintner Enterprise was installed on a laptop to enable creation of key files. As soon as the building was occupied, Vintner Systems installed the system onto the main file server and transferred these files.

The ability to hold our stock in our own bond with seamless “On Demand” release has enabled substantial cash flow efficiencies.  In summary, the system has delivered all we expected and much more.

Established in 1994, Uncorked Wine Merchants are one of the UK’s leading small, independent wine merchants. In 2002, the current owners, Jim Griffin and Andrew Rae bought out the company and embarked on a process of development which included the installation of Vintner Enterprise in the following year. Their shop and showroom is located at Bishopsgate, London, where the staff have gained a reputation for their high standard of knowledge and advice.

Previous Systems

Uncorked previously used Sage for accounting, an EPOS system in their shop and spreadsheets were used to handle customer reserves and en-primeurs.  The lack of integration was restrictive and neither Sage or the EPOS system could cope properly with standard Wine Trade requirements such as handling Duty Paid and Under Bond stock.

System Requirements

Uncorked wanted to integrate the handing of en-primeurs and customer reserves into a central system, needed an integrated EPOS system for their shop, and wished to hold both duty paid and under bond stock.  They also wanted to add ecommerce functionality to their website and integrate it directly into the back office system.

Decision Process

Vintner Enterprise was selected as it was the only system on the market which met all of Uncorked’s requirements.

“Having looked at the market place only one system offered all of these things in one package.  There were many systems which could handle EPOS requirements but did not integrate properly into a back office system and those few which did could not deal with duty.  What these other systems had in common was the inability to deal with the vagaries of the Wine Trade, in particular Duty and VAT.  Vintner was recommended to us by several of our contacts in the drinks trade and we were pleasantly surprised to find that it fulfilled all of our requirements.  We initially purchased the standard package, EPOS and Customer Reserves modules and later obtained the Web Services module”.

Installation

Vintner Systems had a standard conversion program for Sage which made the implementation quick and easy.

We found Vintner Enterprise substantially exceeded our expectations. With the reporting available we rapidly gained full control over our business, something which we had lacked in the past.

Ellis of Richmond

Ellis of Richmond

Ellis of Richmond is a long established independent importer and wholesaler of fine wines.  Founded in 1822 and with the Ellis family still at the helm, this company has developed a diverse portfolio which exclusively represents over 35 producers.  Following a move to new premises, they took the decision to operate their own bonded warehouse.

Previous Systems

Ellis of Richmond converted to Vintner in 1991 from a predominantly manual system.

System Requirements

A system was initially required to cope with the day to day business of a busy wholesaler, encompassing stock control, purchasing and accounts. The earlier version of Vintner had a well proven track record and provided all requirements within the standard package. Later developments introduced the requirement for a Bonded warehouse module in 2002 and a website presence in 2008.

Recent Developments

Implementation of the Vintner Bond Module provided substantial cash flow advantages and the ability to compete with other major players, most significantly within the area of providing spirits.

In 2008, Ellis of Richmond launched its new website. Previously, their wine list had been available as various PDF downloads, the production of which was a time consuming process and these documents had to be continually updated. This problem was solved by integrating the new website with the Web Services module. This allowed live product details, tasting notes and producer details to be automatically extracted from the Vintner system and displayed on the website without any additional work. It also enabled the website to provide a powerful wine search facility to allow the user to search by features such as producer, vintage, colour, grape variety and bottle closure type.

To improve the level of their customer service, Ellis of Richmond wished to provide the additional facility for their trade customers to place orders online and this was achieved using the B2B Website module. This module enabled customers to log in to their own account on the website to view their account history, list of products specific to themselves and place orders with their own special prices being applied.

We have found no other system to manage the specifics of our business to the same extent as Vintner Enterprise. For this reason we have been using Vintner Systems software now for almost 20 years.
